First-Time Setup

Before you start managing students and staff, you must configure your school's core identity and academic structure. This ensures that all reports, invoices, and communications carry the correct branding and context.

1. School Profile

Your school profile is used for all official documents generated by the platform.

• Logo: Upload your school logo. Recommended: 400×400px, PNG or SVG with a transparent background.
• Identity: Provide your school name, motto, and official address.
• GPS Address: Essential for emergency services and logistics.
• Contact: Verify the primary contact email and phone number for system notifications.
• School Type: Select your level (Basic, JHS, SHS, or Combined).
• Accreditation: If you are a candidate school for BECE or WASSCE, enter your center details here.

2. Academic Calendar

The platform relies on the academic calendar to group students, grades, and invoices.

• Academic Year: Create the current year (e.g., 2025/2026).
• Terms: Add your terms with precise start and end dates.
• Holidays: Mark Ghanaian national holidays and any school-specific breaks.
• Daily Timetable: Set your period structure. The default is 8 periods of 40 minutes each.

3. Departments & Class Levels

Organize your school into logical units.

• Departments: Common examples include Sciences, Arts, Languages, and Mathematics.
• Class Levels: Configure the levels relevant to your school type (e.g., KG1-KG2, Primary 1-6, JHS 1-3, SHS 1-3).

4. School Currency Settings

Ardent SMS is built specifically for the Ghanaian market.

• Currency: All financial values are displayed in Ghanaian Cedis (GHS).
• Precision: Internally, Ardent SMS stores all monetary values as pesewas to ensure 100% calculation accuracy. This is a non-configurable core setting that prevents rounding errors across large-scale financial reports.
